Docs: outline to draft with control

8 min read
Docs: outline to draft with control, with the official product logo. Editorial illustration for Analytics Made Simple.

Docs is where teams either build shared clarity or drown in beige generated pages. Gemini in Docs is powerful because the document is already the collaboration surface. Control means you approve structure before prose, inject real facts yourself, and refuse infinite scope.

This is Part 2 of the Gemini in Google Workspace tutorial (GM18).

A control path: brief → outline → section

  • A control path: brief → outline → section drafts → human facts → voice edit
  • How to write a five-line brief the model cannot ignore
  • Placeholder tactics so numbers do not get invented
  • Collaboration etiquette when multiple humans edit
  • Template freezes versus one-off generation
  • Practice for a real one-pager

Gemini workspace docs outline draft control

Docs control path: five-line brief, outline only, section drafts, human facts, voice edit

Five-line brief

Audience:
Goal:
Must include:
Must avoid:
Length / format:

Put the brief at the top of the Doc. Ask Gemini to use only that brief. If the brief is fuzzy, the draft will be fuzzy. Fix the brief first.

Outline only

Using the brief above, propose H2s only.
Max 7 sections. One sentence purpose per H2.
Do not write the full draft yet.

Approve or rewrite the outline by hand. This is the highest leverage minute in the whole process.

Section drafts

Generate one section at a time. Long one-shot essays hide bad structure under fluent glue.

Write only section "[H2]".
Use [[METRIC]] and [[NEED SOURCE]] for unknowns.
Plain language. No hype adjectives.
Length: [ ]
AI may draft structure and phrasing; you own facts numbers claims and final send

Facts and placeholders

Models love fake precision. Force visible holes. Train readers of early drafts to expect brackets. Teams that punish uncertainty get fiction with better grammar.

TokenMeaningWho fills
[[METRIC]]Number from system of recordYou / analytics owner
[[NEED SOURCE]]Claim needs citation or deleteYou
[[NEED LEGAL]]Counsel requiredLegal
[[OWNER]]Named humanYou

Voice edit pass

After facts are solid, cut: synergy, robust-as-hype, delve, tapestry, seamless. Ask Gemini to flag hype adjectives, then delete them yourself. Your brand voice lives in examples you provide, not in generic “professional tone.”

List hype words and empty openers in this section.
Do not rewrite yet. Return a bullet list only.

Collaboration etiquette

  • Do not overwrite a section under active debate; suggest in comments or suggestion mode
  • Note AI assistance when provenance culture requires it
  • Keep one canonical Doc; do not fork twelve chat versions
  • Freeze approved templates; fill placeholders later instead of regenerating the company voice weekly

Worked example: project one-pager

  1. Brief: leadership audience, decision needed Friday, must include risk and cost placeholders.
  2. Outline: problem, options, recommendation, risks, ask.
  3. Draft recommendation section only with [[METRIC]] for cost.
  4. You paste finance numbers; delete an invented competitor claim.
  5. Share for comments with decision date in the title.

When Docs AI is wrong for the job

  • Live contract negotiation language that needs counsel in the loop continuously
  • Documents that must be fully human for regulatory reasons
  • You are generating instead of interviewing the stakeholder who has the facts

Create a five-line brief for a real one-pager

  1. Create a five-line brief for a real one-pager you owe.
  2. Generate and hand-edit an outline.
  3. Draft one section with placeholders.
  4. Fill one real fact; delete one weak sentence.

Full novel from a vague prompt

  • Full novel from a vague prompt
  • Numbers without sources
  • Regenerating instead of editing
  • Fighting over AI prose while the outline is still wrong

A product trio cut review cycles by banning

A product trio cut review cycles by banning full drafts until outline emoji-approval in comments. A nonprofit regenerated their mission page weekly and drifted off brand; they froze a human-approved template and only allowed AI to fill event-specific sections.

Practice beats theory: run one real task from this part today on non-sensitive material, save the artifact outside the side panel, and write two lines on what you will reuse tomorrow. Small dated reps are how Workspace AI becomes skill instead of novelty.
